Q. Does outsourcing medical billing, coding and revenue cycle management (RCM) services make sense for my practice?
A. Regardless of the industry, most experts agree that businesses should focus on their core competencies, such as providing quality medical care, and intelligently outsource your non core functions, like medical billing and coding as well as accounts receivable recovery and revenue cycle management.

Q. Should I be concerned with finding a medical billing outsource company local to my region?
A. We believe the most critical aspect of your decision when choosing an outsource billing company for your claims, is the quality of the company itself, first and foremost. We know our medical specialty billing well and have achieved tremendous success with our clients which are located in various parts of the United States. However, if face to face contact with your billing rep is important to you, we can give you that added benefit. Our company is headquartered in Scottsdale Arizona but our billing representatives work out of our Palm City, Fl, Scottsdale, AZ and Irvine, CA offices.

Q. Is there a long term contract?
A. No, our contracts are month to month. If you are not happy we will help you find a new billing service provider.

Q. Isn’t it less expensive to bill in-house?
A. In almost all cases, a third party billing service is more cost effective than in-house billing due in large part to practice operations inefficiencies. Additionally, dealing with denied claims management and collections will cost more. We estimate we can improve collections between 10% to 15% at the “average” practice.

Q. Do you provide reports?
A. We provide monthly practice reports that provide a real time status of the practice’s billings and collections. The reports include an aged accounts receivable summary, detailed practice productivity and insurance statistics. They are provided at the end of each week at no additional cost. If additional or customized reports are required there would be a nominal fee of about .50 per report.

Q. How does your service work?
A. All you need to do is send us your work, typically by scanning and uploading it to us via email or directly to our server via the FTP account we setup for you; FTP file transfers are the fastest and most efficient way to send files. Mailing is of course an option but mailing will add days to the initial billing cycle. All your patient billing and payment data is available in Real-Time on our web site. The web site is completely transparent so you can see all the work as it is done, including statuses, notes and any missing information that needs your attention. You can also run all commonly used practice management reports from the web site.

Q. Can my billing data be exported out of my existing software and subsequently transferred to you?
A. Usually for most practice office software applications we install, this is possible. This will depend on how your existing software handles data exports. If your software can export all its data to an electronic format we can use, we can convert into a working format on our end at an additional cost to you. If this cannot happen, but your existing software can print reports of patient demographics and receivables, our systems will pull it from the scanned images and enter the data into our database. Once you complete the pre-implementation worksheet we will develop a customized implementation plan that will provide the most seamless and hassle free transition possible.

Q. Does MEDBTS provide training?
A. Yes. The software is very easy to use so it does not take much time to become proficient.

Q. How much does your service cost?
A. Our fees are the some of the most competitive in the industry. We do not charge more based on specialty, size or whether or not you scan your documents. We also collect in excess of 90%.

Q. What documents do I need to send to you?
A. For billing you will provide patient demographics and Insurance information. This is required only for new patients, and patients who have had a change in their demographic or insurance information from either the patient registration form, Hospital Face Sheet or Encounter sheets. For Posting Payments, you will send us your EOBs, and stubs from the patient bills. Co-payments will be posted from the information contained on the Encounter sheets.

Q. What medical practice specialties do you support?
A. We have medical billing and coding specialists for all specialties.

Q. How long does it take to get started?
A. Set up can generally be completed in 15-45 days.

Q. Do I have control of my data?
A. Yes! You have access to all your data at our web site, but you have limited capabilities to make changes. The data is not physically located in your office.

Q. What happens if my staff goes on vacation?
A. This is not a problem. Just continue to scan and send us your documents, or mail your work to us or have us pick it up from you and your work will get done.

Q. How do claims get submitted?
A. We electronically submit all clean claims on a daily basis. Each day We mail claims to insurance companies that do not yet accept electronic submissions. We monitor all electronic submission reports for denials and eligibility issues, and take necessary action.

Q. Does MEDBTS provide HIPAA compliant services?
A. Yes. We also keep track of all new code and regulatory changes and automatically update the software.

Q. CPT/ICD9 codes, regulations change constantly, does your software keep abreast of these changes?
A. Yes. We keep track of all changes to codes and regulations and update the software. Whenever changes are made, you will automatically receive a software update.
